Your Privacy is our first concern.
Grey Swan Guild (“GSG”) is committed to protecting the privacy of our members, supporters and other stakeholders. We value the trust of those we deal with and recognize that trust requires that we be transparent and accountable in how we treat the information you choose to share with us.
What information is collected about you
Personal information is any information that can be used to identify you. Depending on the circumstances how you interact with GSG, we may collect, obtain or otherwise acquire the following types of Personal Information about you, and we make and retain inferences drawn from such information:
(1) Identifiers, such as your name, signature, postal address, zip code, email address, telephone number, unique online identifier, IP address, User ID, and Device ID.
(2) Certain characteristics, such as gender, marital status, nationality, and country of origin, that are protected by applicable law.
(3) Commercial information, such as purchase history.
(4) Internet or other electronic network activity information, such as website or app activity data, call logs, text messages, and emails.
(5) Geolocation data, such as the precise physical location of your Device.
(6) Audio, electronic, visual, thermal, olfactory, or similar information, such as voice recordings, video recordings, physical characteristics or description, and photos.
(7) Professional or employment-related information, such as occupation, employment history and record, and resume.
(8) Education information such as academic record.
(9) While we generally do not obtain other Personal Information that is often considered “highly sensitive,” such as biometric information (e.g., fingerprints, facial recognition images), financial account information (e.g., bank account, credit, debit or other payment card numbers or other financial information), government issued identification numbers (e.g., social security number, drivers’ license number, passport number, or state identification card number), insurance policy number, or medical, health or insurance related information, we may do so when such Personal Information is necessary to offer you certain services.
Nothing in this Privacy Policy addresses, or should be read to limit or restrict, how we collect, use or process anonymous, de-identified, or aggregate information.
How we acquire personal information
A. Personal information you provide. We often receive personal information because you provide it to us. For instance, when you enter a contest, complete a survey, or register and/or set up an account/profile or attend a conference or event, you may be provided, or required to choose, a password and/or User ID, and you may provide a credit, debit, or payment account number, or other payment information, as well as your name, telephone number(s), email and/or street address. Other personal information such as your age, gender, and preferences may also be requested. In addition, we may acquire your personal information when you contact us by telephone, postal mail, social media interaction or messaging (e.g., email, SMS, MMS, or similar technologies). We also may acquire personal information that you provide about other people, for example, when you use our “refer-a-friend” email feature.
B. Personal information automatically collected. We may also automatically collect certain information, some of which may be deemed personal information. The information collected may include, without limitation, information about your Device, such as the make, model, settings, specifications (e.g., CPU speed, connection speed, browser type, operating system, device identifier) and geographic location of you and/or your Device, as well as date/time stamp, IP address, web pages visited and actions taken on web pages, time of visits, Content viewed, ads viewed, the site(s), application(s), destination(s), and/or service(s) you arrived from, and other click stream data. The Service may collect such information even if the Service is not open on your Device or you’re not logged in.
C. Social network integration. If you choose to access, visit and/or use any third party social networking service(s) that may be integrated with GSG, we may receive Personal Information that has been made available to those services, including Personal Information about your contacts on those services. For example, some social networking services allow you to push content from GSG to your contacts or to pull information about your contacts so you can connect with them on or through GSG. Some social networking services also will facilitate your registration for GSG or enhance or personalize your experience on GSG. You should make sure you are comfortable with your personal information the third party social networking services may make available to us by visiting those services' privacy policies and/or modifying your privacy settings directly with those services. We treat personal information that we receive through third-party social networking services in the same ways as all of your personal information we receive through GSG

D. Publicly posting personal information. Please be aware that content and personal information that you disclose in publicly accessible portions of GSG properties may be available to other users, and may also be made available outside GSG properties by third parties, so you should be mindful of all personal information, especially sensitive personal information, that you may wish to post.
How we use your information
Information you provide GSG is used only to deliver programs and services, process your membership or event payment, and to keep you informed of on-going GSG activities, events, funding opportunities, and our upcoming research areas.
Under no circumstances will GSG rent, sell or trade any of your information.
Safeguarding your information
Any personal information that you share with GSG is kept physically and electronically secure, with access limited to staff that require it to perform necessary job functions. Information is used only for the purpose it was collected.
We utilize security safeguards to protect your information against loss or theft, unauthorized access, disclosure, copying, use or unauthorized modification. We also use password protocols and encryption and security software to protect personal information when you order a product or service online. Our software is updated periodically to maximize protection.
In a very limited number of circumstances, we may disclose your information to third party service provides who help us administer our relationship with you, in the normal course of business. For example, we need to disclose your financial information to our bank in order to process your fees and payments for events and publications.
We only share information that is necessary for the service provider to provide GSG with the service. Our service providers are also contractually bound to keep your information confidential, to safeguard your information, to limit their use of your information to the purpose of rendering their service, and to destroy or return your information when it is no longer required.
Link to third party sites
GSG may provide links to third party websites or information as a service to our users. If you use these links, you will leave the GSG site. Such links do not constitute or imply an endorsement, sponsorship, or recommendation by GSG of the third party, the third party website, or the information contained therein, and GSG shall not be responsible or liable for your use thereof. Such use shall be subject to the terms of use and privacy policies applicable to those sites.
Consent, Withdrawing Consent, and Access to information
GSG obtains the consent of its members and other stakeholders to use their information for the purposes it was collected. Based on this Policy and the statements we make to you at the time we collect your information, we trust that you understand how we use your information and the limited circumstances in which it is shared with third parties. Please understand that there may be some circumstances in which we are unable to service your membership without consent to use and disclose your information as outlined above.
If you wish to request a copy of your personal information in our records or a list of third parties to whom we have disclosed your personal information, please send a written request to us at privacy@greyswanguild.org. We will require acceptable proof of your identification before providing you with a response.
In some circumstances, we will be unable to provide you with your complete record (e.g. where the record contains another individual’s personal information). If we are unable to provide you with access to a part of your personal information, we will always explain the reasons why.
If you feel the personal information in our records is inaccurate, incomplete or out of date, please advise us by emailing to privacy@greyswanguild.org and the necessary corrections will be made. Please allow 15 days to process your request.
